FINANCE ADMINISTRATION · OCTOBER 2026
From a repeat document to a repeatable workflow.
I built a private invoicing workspace for my own consultancy. It turns the recurring job of preparing an invoice into a consistent process, from choosing a saved client to checking the draft and exporting a branded PDF.
- Monthly drafts
- Sequential numbering
- Branded PDFs

The operational challenge
Editing a previous invoice by hand can leave an old date, duplicate number or inconsistent payment details behind. The aim was to make the routine work easier while keeping each invoice editable and ready for a final human check.
What I designed and built
- Saved client and business details, with editable descriptions, quantities, rates and dates.
- Sequential invoice numbering and checks against duplicate creation.
- Monthly invoice templates that generate reviewable drafts.
- Draft, sent and paid status tracking, with controlled editing of issued content.
- Branded PDF downloads and a consistent monthly filename convention.
- Invoice snapshots that preserve the details used at the time, even when a client record changes later.
Design decisions
The workflow keeps preparation, issue and payment status distinct. A monthly draft is an invitation to review the amount and dates; it is not automatically an issued invoice. Historic details are preserved so later profile edits do not rewrite earlier documents.
What is in place: A working private browser application with editable invoices, saved records and branded PDF export. The tool was built for my own business administration, rather than presented as a client commission.
The public illustration uses sample content. Invoice records, bank details and the private application address are not published here.
