REAL PROJECT · ANONYMISED · INVENTORY & CUSTOMER OPERATIONS

From separate stock records to a connected order flow.

I designed and implemented a role-based system for a growing operation that needed products, warehouse stock, customer orders and fulfilment to agree with one another. The work covered the flow from receiving stock through reservation, picking and dispatch.

The operational challenge

A customer order is only reliable when the available stock, warehouse location and reserved quantity are clear. Staff also need to see what can be edited, what has already been picked, and how to correct a mistake without rewriting history.

What I designed and implemented

  • Product records with search, identifiers, controlled bulk actions and validated CSV imports.
  • Warehouse locations and auditable receiving, transfer, adjustment and unavailable-stock movements.
  • Allocations that reserve available stock without changing physical on-hand stock until dispatch.
  • Customer-facing ordering with a permitted catalogue, delivery details, order status and stock reservation.
  • Picking, packing notes, partial dispatch, cancellations and returns linked to inventory movements.
  • Role-based access, customer records, reports, exports and a day-to-day user guide.

Design decisions

The central rule was to separate stock on hand from stock available to promise. Reservation reduces availability, while dispatch consumes the reservation and reduces physical stock together. Corrections use new movements and an audit trail. Those choices make it easier to explain what happened to an order or quantity later.

Delivered: an implemented operational application and user guidance covering the full order and stock flow. No private products, customer records or unverified efficiency figures are shown here.

The business and system names are withheld. This case study describes workflow design and implementation without publishing commercial data.
